The Team
Housed within Knowledge the PA/EA pool is a Team, made up of 9 PA’s and EA’s, who between them support the C-suite, Partners and Directors. As well as their individual assistant roles, they help with holiday cover and ad hoc office support. The team have a breadth of experience inside and outside of Freuds Group and comradery and care for one another is strong. The team has a can do attitude and would welcome like-minded additions.
The Role
We are looking for a junior to join our bustling PA pool to look after a number of Directors and support in some office coordination duties. The ideal candidate will have experience of working in an administrative role within a fast paced and creative environment. You will be used to working to tight and often movable deadlines and will have the confidence and gravitas required to work closely with senior members of the business. You’ll be a natural problem solver who prides themself on being one step ahead of those around you, always thinking about what the next day or even hour might bring. Finally, you’ll be discreet by nature and will have the ability to quickly build trust with your team.
Key Responsibilities
- Diary management, ensuring no clashes occur and sufficient time is given to prepare and attend meetings.
- Book and prepare internal meeting rooms where necessary.
- Organise and manage international travel arrangements. Ensure all stages of the travel journey and documentation has been thought through and accounted for
- Office coordination– taking an active part in the organisation of events such as lunches, drinks and monthly meetings and assisting in the day to day running of the office
- Act as key point of contact for external clients, their assistants, and internal colleagues.
- Basic accounts, payments, POs, finance admin.
- Prepare written material like briefing notes and proofread with excellent attention to detail and no grammatical errors.
- Get involved in the planning of company events such as weekly staff lunches, monthly events and annual festivities.
Computer literacy:
- Excellent knowledge in Microsoft programmes (Outlook, Word, Excel, PowerPoint)
- Help prepare PowerPoint presentations as required.
- Assist in letter writing and minute-taking where necessary.
- Utilise Excel to put together reports and present ad-hoc results as requested
